How Callcard Express handles business call intake data

Callcard Express helps billing teams, sales teams, reception staff, coordinators, and other call handlers capture contact and service details without asking callers to spell everything out over the phone. This Privacy Policy explains what information we process, why we process it, and how we limit retention of caller data.
Information we process
We process different categories of information depending on whether you are a business user of the platform or a caller who receives a secure link.
- Business account information such as name, work email, login details, company information, and basic account settings.
- Session information such as the receiving team, session status, timestamps, and operational metadata needed to create and manage a short-lived request.
- Caller-submitted information such as name, phone number, email address, address, and other contact or service details entered into a secure form during an active call.
- Technical information such as browser type, IP address, device signals, and basic usage logs used for security, reliability, and abuse prevention.
How we use information
- To let a business user send a caller a secure SMS link during a live phone conversation.
- To display caller-submitted details to the authorized receiver in real time.
- To support billing, account management, authentication, and customer support.
- To protect the service, investigate misuse, and maintain platform performance and security.
- To comply with legal obligations and enforce our terms.
Caller data retention
Callcard Express is designed to minimize long-term storage of caller personal information. Caller-submitted form data is intended to support the live interaction between the caller and the business that requested the information.
We aim to keep caller data only for the short period needed to deliver the session, show the information to the intended receiver, support limited reconnect or revoke flows, and automatically expire the session.
We may retain non-content metadata such as timestamps, delivery status, account activity, and security logs for operational, fraud-prevention, billing, and compliance purposes.
The business receiving the information may separately copy or enter the caller's details into its own systems. That downstream handling is controlled by the business, not by Callcard Express.
SMS delivery and communications
When a business user starts a session, we may send a toll-free SMS message containing a secure link to the caller. These messages are operational and tied to the active request.

How information is shared
We do not sell caller personal information. We may share information only as needed to run the service.
- With infrastructure and application providers that help us host the app, authenticate users, store account data, and operate short-lived sessions.
- With SMS providers that deliver the secure link to the caller.
- With service providers that support security monitoring, troubleshooting, or customer support under appropriate confidentiality obligations.
- When required by law, legal process, or to protect the rights, safety, and security of Callcard Express, our users, or others.
Security
We use administrative, technical, and organizational safeguards designed to protect account information and active session data. No system is perfectly secure, but we build the product to reduce unnecessary retention of caller information and to limit access to authorized business users and service providers.
Your choices and rights
Business users can update certain account details through their profile and company settings.
Callers can choose whether to submit information through the secure form. Depending on the session, callers may also be able to clear or revoke previously shared information during the active session.
